Registration


The 18-ICML will take place as an in-person conference in Lugano, Switzerland, from 17 to 21 June 2025.

In-person registration will include access both to live and on-demand streaming.
Virtual registration will be available for those who are unable to come to Lugano.
In-person participation is required for faculty members, speakers and chairs.

 

It is recommended that you register well in advance if you wish to attend the conference in-person: please note that attendance is limited due to space restrictions in the conference venue, and that registrations are accepted on a first-come, first-served basis.

If the maximum limit of participants attending in-person is reached (even before the early registration fee deadline, i.e. 28 February 2025), registration will be closed.

In this case, a waiting list will be made available: those on the waiting list will be assigned a place at the conference  in the event of the cancellation of participants with a confirmed place. The participants that remain on the waiting list will have the option of purchasing virtual registration.

Personal Badge

Personal badges must be worn at all times by all participants.

The following information will be printed on the badge: first name, last name, workplace, country and HCP status.

Due to access control requirements, this data cannot be hidden. Therefore, participants are requested to consent to such processing when registering in-person. Access to the Scientific sessions and to the Exhibition Area will not be permitted without a personal badge.

In case of loss of the badge, a fee of CHF 100 will be charged to replace it.

Third parties/group registration

Third parties/group registration allows a certain number of people to be registered without providing information on the participants at the time of registration.        
All personal data must be provided by the participants themselves after accepting an invitation link.

Via the provided link, invitees will be asked to:
- create their personal account;
- indicate their preferences regarding the processing of their personal data;
- complete registration with their personal information by 30 May 2025.

For third parties/group registration, a report may be drawn up on the virtual attendance of the registered participants, if requested by the companies sponsoring the attendees. By accepting the invitation, it is assumed that the participants give their consent to the processing of this data.
Invitees who do not agree to the report can decline the invitation.

It is crucial that participants provide their correct email address as it will be required to access the virtual platform and to obtain the certificate of attendance.
 

The conference material can be collected on behalf of the participants upon appointment by sending a request to registration@icml.ch.
 


Press registration


Accredited journalists are welcome to participate in the 18-ICML. Registration is free-of-charge and must be completed online.
A letter of assignment or a valid press card is required. A confirmation of registration will be sent upon verification of the document provided.


Payment

 

Payments can be made by credit card or by bank transfer until 11 June 2025 (the name of the participant, or third parties/group name, must be clearly stated on the transfer - bank fees are not to be charged to the beneficiary). After 11 June only payment by credit card will be accepted.
 

The registration fee is VAT exempt.

The invoice can be downloaded online.
 

If the payment is not received within 7 working days of registration, the registration will be automatically cancelled.

Certificate of attendance

 

The certificate of attendance (no European CME credits will be awarded) can be obtained after the conference upon completion of the evaluation form.


Invitation letter

 

The letter of invitation for a visa application can be requested during the online registration process.

The invitation letter does not commit ICML to any financial obligations.


Cancellation, change and correction policies

Registration cancellation policy

Registrations cannot be cancelled. However, it is possible to change registration type from virtual to in-person and from virtual to in-person.

Cancellation or modification of the Congress

 

If the ICML cannot be held in-person for any reason, in particular in the event of force majeure (i.e. pandemics, risks to public health, diseases, governmental laws, orders or restrictions, national or regional emergencies, fires, explosions, floods, earthquakes, perils of the sea, strikes or lockouts, embargos, civil commotions, riots, wars, weather, strikes, labour stoppages or slowdowns or other industrial disturbances, shortages of adequate power, materials or transportation facilities or any similar cause beyond the reasonable control of the ICML organisation), the organisers may decide at any time to hold the ICML as a totally virtual conference (i.e. without in-person attendance). In such a case the in-person registration will be valid for virtual attendance and the participants will be entitled to a partial refund of the registration fee. The amount of the refund will be determined based on the costs incurred for the organisation of the 18-ICML. The same applies if the number of participants for ICML has to be restricted for any reason and the registration is amongst the excluded registrations.

Lastly, in the event of the cancellation, modification, limitation or postponement of the ICML, all services obtained from third parties (e.g., accommodation, ancillary services, leased spaces, etc.) shall be regulated exclusively by the agreement with such third parties and by the cancellation clauses contained in such agreements. The ICML organiser will not be held responsible for any loss or damage that may be suffered by the participant in connection with such third-party services. This means, inter alia,  that by registering for the ICML the participant confirms that the ICML organiser will not be liable in any way for  any services the participant has booked with third parties, also in the event of cancellation, modification, limitation and postponement of the ICML.
